Description
For an established media, technology, and services environment, experienced support for the managing director is sought on a freelance basis. The role calls for a proactive, highly organized personality who acts as the central interface between the managing director, internal stakeholders, and external business partners. The tasks include administrative, organizational, and coordination duties that are handled independently.
The aim of the project is to relieve the managing director in day-to-day operations and ensure smooth communication and organization.
Main tasks:
- Support for the editor-in-chief / managing director in day-to-day operations
- Preparation, coordination, and follow-up of internal and external appointments
- Independent organization of business trips, including travel planning and travel expense reporting
- Calendar and appointment management, including prioritization of appointments
- Coordination of meetings, workshops, and events
- Creation and preparation of presentations, management documents, and decision papers
- Preparation of meetings and management meetings
- Communication with internal and external contacts at management level
- Hosting and welcoming guests and business partners
- Support with contract-related administrative processes and deadline management
- Review and tracking of invoices as well as support with approval processes
- Research, analysis, and preparation of complex issues
- Support for cross-functional projects and special topics
Requirements
Professional qualifications:
- Successfully completed degree or comparable qualification
- Several years of professional experience as an Executive Assistant, Executive Assistant to the Managing Director, or in a comparable position
- Experience in creating professional presentations and management documents
- Confident use of MS Office (especially PowerPoint, Outlook, and Excel)
- Very good German skills, written and spoken; English skills are an advantage
